Queensland University of Technology (QUT) faced a critical challenge of modernising identity management for a diverse and growing population of students, staff, and visitors. The ID@QUT initiative was designed to strengthen security, ensure safe and responsible use of AI and low‑code platforms, improve user experience, and align with QUT’s vision for a digitally connected campus.
Delivered by Rapid Circle using Microsoft Entra ID and Power Platform, the project demonstrates how identity modernisation can become a catalyst for governance maturity, operational efficiency, and institutional resilience.

QUT operates within a complex university environment where thousands of users require secure and seamless access to systems throughout their academic or professional lifecycle. Legacy identity systems had become brittle over time, creating friction for users and increased risk for administrators.
Applicant data was intertwined with corporate directories, introducing compliance and privacy risks. Authentication processes needed to support multiple user groups with different security requirements, while legacy platforms lacked integration with government‑issued identity frameworks and PII standards. These challenges conflicted with QUT’s digital transformation strategy focused on security, agility, and user‑centric design.
Rapid Circle partnered with QUT to design and deliver ID@QUT, a modern identity management solution built on Microsoft Entra ID and Power Platform. The initiative re‑architected identity governance to meet the needs of a modern university.
The solution embedded governance controls to support responsible AI and low‑code usage, leveraged cloud‑native security through Microsoft Entra ID, and used Power Apps and Power Automate to deliver agility and reduce technical debt. A Power Platform Centre of Excellence was established to institutionalise governance, best practices, and lifecycle management.
Implementation included decommissioning legacy identity systems, automating provisioning for students, staff, and visitors, strengthening authentication and compliance, and maintaining close alignment with academic, administrative, and IT governance stakeholders.
The ID@QUT initiative delivered improvements across security, operational efficiency, and governance maturity. Automated workflows reduced manual intervention and errors, while improved identity services created a more seamless experience for students and staff.
Beyond technical outcomes, the project enabled QUT’s IT teams to move from reactive system management to proactive governance and capability building. While financial ROI remains confidential, QUT achieved significant cost avoidance, risk reduction, and stronger alignment with its long‑term transformation objectives.

ID@QUT addressed fragmented identity systems, data segregation risks, and authentication complexity across students, staff, contractors, and visitors.
Governance requirements became larger than the technical implementation. The solution embedded governance controls to support responsible use of Power Platform and AI, ensuring compliance and long‑term sustainability.
By establishing strong governance foundations, QUT can safely scale low‑code, automation, and AI‑driven initiatives without increasing risk or operational complexity.
